Who we are

B D Window Cleaning Services is run by Ben Drummond and is responsible for deciding how your personal information is used.

When you request a quote, book a clean or contact us, we may collect:

• your name and contact details;
• your property address and postcode;
• information about your property and the cleaning services requested;
• your estimated price and preferred appointment date;
• access information, such as details about gates, parking, pets or awkward windows;
• messages sent by email, telephone or WhatsApp;
• records of cleans, appointments, payments and invoices; and
• technical information collected when you visit the website, such as your IP address, browser and device information.

Please only include access information that is relevant to providing the cleaning service.

How we use your information

We use your information to:

• prepare and respond to your quote request;
• arrange, confirm and carry out your window clean;
• contact you about appointments, access or changes to the service;
• manage regular cleaning arrangements;
• collect and record payments;
• respond to questions or complaints;
• maintain records required for accounting, tax and legal purposes; and
• protect the security and proper operation of the website.

The lawful bases we normally rely on are:

Contract: to provide a quote at your request and deliver an agreed cleaning service.

Legal obligation: to keep records required by tax, accounting or other laws.

Legitimate interests: to manage the business, communicate with customers, recover money owed, handle complaints and keep the website secure.

We will not use information submitted through the quote form for unrelated marketing unless you have asked to receive it. We do not sell personal information.

Who we share information with

We only share information where it is necessary to operate the business or comply with the law. This may include:

• Google, which processes website bookings through Google Apps Script and provides spreadsheet storage and email services;
• WhatsApp/Meta, if you choose to contact us through WhatsApp;
• GitHub Pages, which hosts this website;
• banking, payment or accounting providers used to manage customer payments and business records;
• professional advisers, such as an accountant; and
• HMRC, courts, regulators or other authorities where required by law.

These organisations handle information under their own privacy terms or as service providers acting on our behalf.

Information processed outside the UK

Some of our service providers may process or store information outside the UK. Where required, information will be protected using recognised safeguards, such as UK adequacy regulations or approved contractual protections.

How long we keep information

We only keep personal information for as long as it is reasonably needed:

• Quote requests that do not become bookings will normally be deleted within 12 months of the last contact.
• Customer and service information will normally be kept while cleaning services continue.
• Payment, invoice and transaction records may be kept for up to six years to meet accounting, tax and legal obligations.
• Information may be kept for longer where necessary to resolve a dispute, establish a legal claim or comply with the law.

Information that is no longer required will be securely deleted or destroyed.

Website information and cookies

The website does not currently use advertising or analytics cookies. GitHub Pages may process standard technical information, including IP addresses and browser information, to deliver and protect the website.

Google may process standard technical information and use essential cookies or similar technology when securely processing a submitted booking. If analytics, advertising or other non-essential cookies are added in the future, this notice and the website’s cookie controls will be updated.

Automated estimates

The website calculator uses the property details you select to produce an estimated cleaning price. This is only an estimate. The final price is checked and confirmed by your cleaner before work begins.

We do not use your personal information to make solely automated decisions that have legal or similarly significant effects.

Protecting your information

We take reasonable steps to protect personal information against loss, misuse, unauthorised access or disclosure. Access is limited to people and service providers who need the information for the purposes described in this notice.

Your rights

Depending on the circumstances, you may have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct information that is inaccurate or incomplete;
• ask us to delete your information;
• ask us to restrict how your information is used;
• object to certain uses of your information;
• receive certain information in a portable format; and
• withdraw consent where we rely on consent.

These rights are not absolute and may be limited where we need to retain information for legal or contractual reasons.
